International Retreat Terms & Conditions

Each retreat has its own destination, dates, pricing, deposit, payment schedule, inclusions, accommodation and travel requirements. These details form part of your agreement and are provided on the relevant retreat page and in your written booking confirmation.

Where retreat-specific written information differs from these general Terms, the retreat-specific information will apply to that particular booking, provided it was disclosed before payment and does not exclude any rights that cannot lawfully be excluded.


These Terms & Conditions apply to all international retreats hosted by Alison Mayfield, referred to below as Ali, we or us.

Each retreat has its own destination, dates, pricing, deposit, payment schedule, inclusions, accommodation and travel requirements. These details are provided on the relevant retreat page and in your written booking confirmation and form part of your agreement with us.

By submitting an application, accepting a place, making any payment or attending a retreat, you confirm that you have read, understood and agreed to these Terms & Conditions.

1. Applications and bookings

Submitting an application does not guarantee a place.

Applications are reviewed to determine whether the retreat is suitable for the applicant and the wider group. We may request a short conversation before offering a place.

Your booking is confirmed only when:

your application has been accepted in writing; and
the required deposit has been received.

Guests must be at least 18 years old unless otherwise agreed in writing.

2. Pricing and payments

All prices are stated in Australian dollars unless otherwise specified.

The deposit amount, payment schedule and final payment date for each retreat will be stated on the relevant retreat page and in your booking confirmation.

The deposit is non-refundable unless otherwise required by law.

Any agreed payment plan must be followed according to the dates provided.

If a payment becomes overdue, we will contact you and provide a reasonable opportunity to bring it up to date. If payment is still not received and no alternative arrangement has been agreed in writing, we may cancel your booking.

Your confirmed retreat price will not increase unless you request an upgrade, additional service or other change.

3. Guest cancellations

All cancellations must be made in writing.

Unless different cancellation terms are clearly stated for a particular retreat before booking:

the deposit is non-refundable; and
all retreat payments become non-refundable 60 days before the retreat begins.

Refunds are not ordinarily available for change of mind, illness, injury, personal circumstances, missed or cancelled flights, late arrival, early departure or failure to arrange required travel documentation.

Comprehensive travel insurance is mandatory and should be purchased as soon as your booking is confirmed.

Nothing in this section limits any rights you may have under Australian Consumer Law.

4. Transferring your booking

You may request to transfer your booking to another suitable person.

The replacement guest must:

complete their own application;
meet the retreat requirements; and
be approved by Ali in writing.

Transfers cannot be guaranteed and may not be possible once final arrangements have been confirmed with the venue and service providers.

5. Cancellation or postponement by Ali

If we cancel a retreat for reasons within our reasonable control, you will be offered either:

a transfer of your retreat payments to another retreat; or
a refund of the retreat payments you have made.

We are not responsible for reimbursing flights, visas, insurance, accommodation booked independently or other third-party travel expenses. Guests should seek reimbursement through their travel insurer where available.

If a retreat is postponed or materially changed, we will provide reasonable options having regard to the circumstances and your rights under Australian Consumer Law.

6. Events beyond our control

We are not responsible for delays, changes, interruptions or cancellations caused by circumstances beyond our reasonable control, including:

natural disasters, fire, volcanic activity or extreme weather;
epidemics, pandemics or health emergencies;
government restrictions or border closures;
civil unrest, war or terrorism;
transport disruption, airline cancellation or venue closure;
industrial action; or
serious illness, injury or another unforeseen emergency.

Where reasonably possible, we will offer an alternative arrangement, postponement, credit or refund.

Any refund may be reduced by documented third-party costs that have already been paid and cannot reasonably be recovered, subject to Australian Consumer Law.

7. Travel responsibilities

You are responsible for checking, arranging and paying for all travel requirements, including:

flights;
passport validity;
visas and entry documentation;
arrival declarations and tourist levies;
vaccinations or health requirements;
proof of onward travel;
accommodation outside the retreat dates; and
any other government or destination requirements.

You must follow the arrival requirements stated for your specific retreat. Unless otherwise confirmed in writing, guests must arrive in the destination country at least one day before the retreat begins.

Where early arrival is required, arriving in the destination country on the retreat commencement date is not permitted unless Ali provides written approval due to exceptional circumstances.

You are responsible for any costs or consequences arising from incomplete travel documents, denied entry, missed transport or late arrival.

8. Travel insurance

Comprehensive travel insurance is mandatory and must cover, at minimum:

overseas medical treatment;
emergency evacuation and repatriation;
trip cancellation or interruption;
travel delays;
lost or damaged belongings; and
the activities included in the retreat.

Evidence of insurance may be requested before the retreat begins.

9. Health and medical disclosure

You are responsible for ensuring that you are physically and mentally able to attend and participate safely.

You must disclose any information that could affect your participation or safety, including:

injuries or mobility limitations;
pregnancy;
recent surgery;
medical conditions;
allergies or serious dietary requirements;
mental health conditions;
medications; or
any other relevant health concern.

You must notify Ali if this information changes between booking and the retreat.

You should seek advice from your doctor or treating health professional if you are unsure whether a retreat activity is suitable for you.

Ali may modify or restrict your participation in a particular activity where there is a reasonable concern for your safety or the safety of others.

10. Scope of facilitation

Ali is a trained yoga, breathwork and meditation facilitator.

She is not acting as a doctor, psychologist, psychiatrist, psychotherapist, counsellor, mental health professional or life coach.

The retreat and its practices are not medical or psychological treatment and are not intended to diagnose, treat, cure or prevent any physical or mental health condition.

You remain responsible for seeking appropriate professional care and continuing any prescribed treatment unless advised otherwise by your treating practitioner.

11. Participation and inherent risk

Retreat activities may include yoga, movement, breathwork, meditation, chanting, sauna, cold immersion, swimming, massage, ceremonies, transport and excursions.

These activities involve inherent physical, emotional and environmental risks.

Participation is voluntary. You are responsible for:

listening to your body;
choosing an appropriate level of participation;
following reasonable safety instructions;
communicating discomfort or concerns; and
opting out when needed.

To the extent permitted by law, you accept responsibility for the inherent risks of the activities you voluntarily undertake.

Nothing in these Terms excludes any right, guarantee or remedy that cannot legally be excluded. Australian Consumer Law requires consumer services to be delivered with due care and skill.

12. Emergencies and medical assistance

If you become unwell or injured, we may arrange reasonable medical assistance where considered necessary.

You are responsible for medical, transport, evacuation and related expenses not included in the retreat or covered by your travel insurance.

In an emergency, relevant information may be shared with medical professionals, emergency services, insurers or your nominated emergency contact.

13. Independent providers

Some retreat services may be delivered by independent providers, including accommodation providers, drivers, massage therapists, chefs, guides, cultural or spiritual practitioners, activity providers and excursion operators.

These providers are responsible for delivering their own services and may have separate terms and safety requirements.

We will use reasonable care when selecting and coordinating providers but cannot control every act, omission, delay or change made by an independent provider.

This does not limit any responsibility that cannot legally be excluded.

14. Accommodation and room sharing

Accommodation types and room-sharing arrangements vary between retreats and are subject to availability.

Twin-share rooms are best suited to guests booking with a friend, partner or family member.

Room sharing between solo guests may be considered in limited circumstances but is assessed individually and cannot be guaranteed.

Final room allocations remain at Ali’s discretion, taking guest preferences and practical requirements into account.

Guests are responsible for damage they deliberately or negligently cause to accommodation, venue property or retreat equipment.

15. Food and dietary requirements

You must disclose all allergies and dietary requirements before attending.

We will make reasonable efforts to communicate disclosed requirements to the venue, but we cannot guarantee an entirely allergen-free kitchen or environment.

Guests with severe allergies or complex dietary or medical needs should discuss them with Ali before booking.

16. Guest conduct

Guests must behave respectfully towards other guests, staff, local communities and service providers.

Harassment, discrimination, violence, illegal activity, unsafe behaviour or serious disruption will not be accepted.

Guests must not participate in retreat activities while impaired by illegal drugs or excessive alcohol.

We may require a guest to leave if their behaviour creates a genuine risk to safety, wellbeing or the group experience.

No refund will ordinarily be provided where removal results from serious misconduct or a breach of these Terms. The guest remains responsible for their onward travel and accommodation.

17. Retreat schedule and changes

The published itinerary is a guide and may change due to weather, safety, cultural requirements, facilitator availability, venue needs or other practical circumstances.

We may make reasonable changes to timing, activities, meals, excursions, providers or accommodation while maintaining the overall nature and value of the retreat.

If a change is material and substantially alters the experience purchased, we will provide a reasonable remedy having regard to the circumstances and Australian Consumer Law.

18. Photography, privacy and confidentiality

Photography or video may be taken during the retreat.

Consent for the promotional use of identifiable images will be requested separately. You may decline promotional photography without losing your place on the retreat.

Guests must respect the privacy of others and must not share another guest’s personal story, sensitive disclosure, photograph or video without permission.

19. Personal belongings

You are responsible for your passport, money, luggage, devices and other belongings.

To the extent permitted by law, we are not responsible for loss, theft or damage unless caused by our failure to exercise reasonable care.

20. Personal information

Personal information is collected to manage applications, bookings, payments, travel arrangements, retreat communication and guest safety.

Relevant information may be shared with venues, service providers, emergency personnel or authorities where reasonably necessary to deliver the retreat, protect safety or comply with the law.

Your information will not be sold to third parties.

21. No guaranteed outcome

Every guest’s experience is different.

Although the retreat is designed to support wellbeing, reflection and personal growth, no specific physical, emotional, psychological, spiritual or personal outcome is promised.

22. Concerns and complaints

Please raise concerns as soon as reasonably possible so we have an opportunity to respond or address them.

Formal concerns may be submitted in writing to ali@alimayfield.com.au.

Both parties agree to make a genuine attempt to resolve any dispute through direct communication before commencing formal proceedings, where appropriate.

23. Australian Consumer Law

Nothing in these Terms excludes, restricts or modifies any right, guarantee or remedy that cannot lawfully be excluded under Australian Consumer Law or other applicable legislation.

Where these Terms conflict with a non-excludable legal right, that legal right will apply.

Standard-form consumer terms must not create an unfair one-sided imbalance, which is why these Terms provide remedies for material changes and preserve non-excludable consumer protections.

24. Governing law

These Terms are governed by the laws of Queensland, Australia.

The parties submit to the courts and tribunals of Queensland, subject to any applicable rights concerning jurisdiction.

25. General terms

The relevant retreat page, written booking confirmation, payment schedule and these Terms together form the agreement between you and Ali.

Where retreat-specific written information differs from these general Terms, the retreat-specific information will apply to that booking, provided it was disclosed before payment and does not exclude any right that cannot legally be excluded.

Any individual variation must be confirmed in writing.

If any part of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.

Acceptance

By submitting your application, you confirm that you:

have read and understood these Terms;
have provided accurate and relevant information;
accept responsibility for your travel arrangements and participation; and
agree to be bound by these Terms.
